For associations
Marketing automation for associations and association marketing software for renewals and events
Your AMS keeps the member records and sends the renewal invoice. AiMarketer writes everything around it: the welcome series, the value recap before renewal, the annual meeting campaign, sponsor outreach, posts and ads, and launches each piece only after you approve it.
No card required for the demo. Nothing reaches a member without your approval.
The agent drafts a real starter campaign for your business: the angle, three ads, a five-post calendar and a budget split. One free run, about 30 seconds.

The short answer
Marketing automation for associations has two halves. The association management system (WildApricot, MemberClicks, Glue Up, Join It) stores members, collects dues and sends scheduled renewal reminders, for $29 a month to about $18,500 a year. The half most associations are missing is production: the onboarding series, the value recap before renewal, the conference campaign and the recruitment ads. An AI marketing agent produces and launches those for $49 to $149 a month.
Every price on this page was read from the vendor's own US pricing page in September 2026. Where a vendor quotes on request, the table says so.
Three numbers from the 2025 Membership Marketing Benchmarking Report by Marketing General Inc., drawn from nearly 500 US professional and trade associations. They explain why the marketing around renewal matters more than the reminder itself.
84%
median renewal rate
The other 16 percent is the number a pre-renewal campaign is trying to move. On a 1,000-member society at $250 dues, each point is $2,500 a year.
45%
of associations grew membership
Down from 47 percent the year before and 49 percent the year before that. Recruitment is getting harder, not easier.
49%
raised dues in the past year
A dues increase without a clear value story is the classic trigger for a lapse. The recap email is how members hear the story.
What your AMS already automates, and what nobody writes
Most associations already own automation. It is attached to the database and fires on dates. What it cannot do is decide what to say, which is why so many member emails are an invoice with a logo on top.
Your AMS handles
- Dues invoices and payment. Recurring billing, receipts and failed-card retries.
- Renewal reminders on a schedule. The same template at fixed days before expiry.
- Event registration. Ticket types, member pricing, confirmations and badges.
- The member directory and portal. Profiles, committees, chapters, CE records.
- Sending. Most AMS platforms include an email tool, so you rarely need a separate sender.
The agent writes and launches
- A 90-day new-member welcome series. Benefits in the order people use them, not the order the brochure lists them.
- The value recap before renewal. What the member attended, downloaded or saved this year, 30 days before the notice.
- The annual meeting campaign. Program launch, speaker spotlights, early-bird and last-chance emails, posts and paid social.
- Recruitment ads and win-back. Search and social ads to non-members who attended your events or match your member profile, a separate series to members who lapsed.
- Sponsor and exhibitor outreach. The prospectus email, follow-ups and the recap sponsors ask for after the event.
Association marketing software pricing, vendor by vendor
Eight options US associations shortlist, with the meter each one bills on. Watch the meter more than the entry price. A contact-based AMS charges for every prospect and lapsed member you keep on file, a payment-fee model grows with your dues revenue, and a seat-based suite grows with your staff.
| Tool | Published US price (checked September 2026) | You pay per | Fits best |
|---|---|---|---|
| WildApricot | $66 a month at 100 contacts, $154 at 500, $265 at 2,000, $485 at 5,000, $992 at 50,000 (monthly billing; 10% off yearly, 15% off for two years) | Contacts, including non-members | Small associations and chapters that want website, dues and email in one flat plan |
| Join It | Starter $29, Total $99, Extra $199 a month at 250 members, plus a 3.0%, 2.0% or 1.5% service fee on online payments | Members, and a share of every online payment | Very small groups that mostly need dues collection and renewal reminders |
| MemberClicks | MC Trade from $3,500 a year, MC Professional from $4,500 a year | Quoted by organization and features | Trade associations and chambers (Trade) or individual-member societies (Professional) |
| Glue Up | Professional $3,000 to $6,500 a year, Advanced $8,000 to $18,500 a year, Enterprise custom; billed annually | Organization size and requirements | Associations and chambers with heavy events and mobile app needs |
| GrowthZone | Quote only; AI newsletters are an add-on | Quoted | Chambers and mid-sized associations |
| Higher Logic | Quote only; says it never charges for exceeding a contact count | Quoted | Larger associations that need community plus email marketing |
| HubSpot Marketing Hub | Professional $800 a month plus a one-time $3,000 onboarding fee | Seats and marketing contacts | Staffed marketing teams that will build their own workflows |
| AiMarketer | Starter $49, Growth $149, Scale $499 a month (ten months for twelve when paid yearly) | Brands, not members or contacts | The production layer next to your AMS: plans, writes and launches campaigns on approval |
A worked year for a 1,500-member professional society with one membership director: WildApricot at the 2,000-contact tier is $265 a month, or $2,862 a year paid yearly, and AiMarketer Growth adds $1,490 a year paid yearly. About $4,350 for the database, dues, website, sending and a full campaign calendar. The same society adding HubSpot Marketing Professional instead of an agent pays $9,600 in subscription plus $3,000 in onboarding in year one, and still needs someone to build every workflow.
These are not substitutes for each other. Keep your AMS whatever you choose; it is where dues are recorded and where your email already sends from. The real decision is whether to buy another place to build campaigns or pay for the campaigns to be written. The membership year, with every campaign drafted ahead
An association's year is fixed: renewals, the annual meeting, awards, elections, recruitment. What breaks a small staff is that the conference campaign and the renewal wave land on the same desk in the same quarter. The agent drafts each month's work weeks before it is due, so the busy season is spent approving, not writing. A calendar-year renewal cycle looks like this; anniversary renewals simply run the renewal series every month.
-
Jan
Dues invoices and renewal wave one
-
Feb
Renewal reminders, early-bird for the annual meeting
-
Mar
Lapsed-member win-back, award nominations
-
Apr
Conference program launch, sponsor outreach
-
May
Registration push, speaker spotlights
-
Jun
Mid-year value recap to every member
-
Jul
Last-chance registration, exhibitor sales
-
Aug
Annual meeting week, onsite and follow-up
-
Sep
Post-event survey, recording sales, CE reminders
-
Oct
Recruitment campaign to non-member attendees
-
Nov
Pre-renewal value recap, board election
-
Dec
Renewal notice, year-in-review
The renewal sequence that runs every cycle
The invoice is the last message in a good renewal sequence, not the first. This is the series the agent drafts from your member types and benefits, with the reminders your AMS already sends kept in place.
60 days before
Value recap
Events attended, resources used, CE credits earned and member savings, in one short personal email.
30 days before
Renewal opens
The notice, framed around what is coming next year: the meeting, a new program, the advocacy agenda.
7 days before
Reminder
Short, one link, with the benefit most members of that type actually use.
Expiry day
Last day
A plain note that access ends today, plus a way to switch to installments if your AMS offers them.
30 and 60 days after
Win-back
A different tone: what they missed, an easy path back, and a question about why they left.
The same pattern covers first-year members separately, because they renew less often than the rest of the roster and need the value story sooner. Their welcome series starts the day they join and ends with the first recap at month three.
How AiMarketer runs an association's marketing
AiMarketer is an AI marketing agent. It plans the month, writes and designs the campaigns, launches them on your approval across email, social and paid channels, and sends a plain-English report every week.
-
Step 1
Describe the association
Member types, dues levels, the benefits people actually use, your annual meeting dates, chapters and the goal: renewals, new members, registrations or sponsors.
-
Step 2
It plans the year
A calendar of welcome, renewal, win-back, conference and recruitment campaigns around your dates, with posts and ads to match.
-
Step 3
You approve
Edit a line, check the CE credit or the early-bird price, then approve. Nothing reaches a member until you sign off, and every version is logged.
-
Step 4
Launch and report
Approved work goes out through your connected channels, ad spend shifts toward what brings members and registrations, and a report arrives weekly.
Starter is $49 a month for one brand on one channel, which suits a small society that mainly needs a steady member newsletter and the renewal series. Growth at $149 connects every channel, runs the recruitment and conference ads and adds the weekly dashboard; it is the plan most one-person membership teams should start on. Scale at $499 covers up to 15 brands with approval workflows per brand, which fits a state association with chapters, a federation, or an association management company running several client associations.
Measured against the alternatives, $149 a month is a small fraction of a part-time communications hire, and it covers every channel rather than one.
Who this is for
- Membership directors who are also the marketer. You know why members stay. You never have the week to turn it into a campaign.
- Executive directors of small trade and professional associations. A staff of two to ten, a board asking about growth, and a conference that has to sell out.
- State associations with chapters. One voice, several chapter calendars, one approval queue each on Scale.
- Association management companies. Several client associations and their annual meetings, run from one account.

Questions about marketing automation for associations
What is the best marketing automation for associations?
The best marketing automation for an association is usually the email and automation module already inside its association management software, paired with something that produces the campaigns. WildApricot, MemberClicks, Glue Up and Join It all include automated renewal reminders. What they do not do is write the recruitment series, the conference promotion or the sponsor prospectus, which is where an AI marketing agent at $49 to $149 a month fits.
How much does association marketing software cost?
Published US prices run from $29 a month for Join It Starter at 250 members and $66 a month for WildApricot at 100 contacts, to $3,500 to $4,500 a year for MemberClicks and $3,000 to $18,500 a year for Glue Up. Higher Logic and GrowthZone quote on request. Campaign production is a separate line: an agent costs $49 to $149 a month, a part-time marketer far more.
Do I need marketing automation if my AMS sends renewal reminders?
Renewal reminders are the one thing an AMS automates well. The gap is everything that makes a member want to renew: the onboarding series in the first 90 days, the value recap before the renewal notice, the conference campaign and the lapsed-member win-back. If nobody writes those, the reminders go out on schedule to people who have already decided not to renew.
How do associations increase membership renewals?
Associations that renew well start before the invoice. Send new members a short onboarding series, a mid-year note showing what they used, and a value recap 30 days before the renewal notice. Then run reminders at 30, 7 and 0 days and a win-back 30 and 60 days after lapse. The 2025 MGI benchmarking report puts the median renewal rate at 84 percent.
Can AI write membership marketing emails?
Yes. AI drafts membership recruitment emails, onboarding series, renewal sequences, event promotions and sponsor outreach quickly and in a consistent voice, once it knows your member types, dues levels, benefits and calendar. A staff member should still approve anything that quotes a benefit, a price or a CE credit, because an error there becomes a member service problem.
Is HubSpot good for associations?
HubSpot is a strong general marketing platform, but it is not built around dues, member types, chapters or event registration, so associations usually run it next to an AMS and sync the two. Marketing Hub Professional costs $800 a month plus a $3,000 onboarding fee, which is more than many small associations pay for their whole AMS.
What should an association automate first?
Automate the messages that depend on someone remembering. In order of payoff: the new-member welcome series, the pre-renewal value recap, lapsed-member win-back, the annual meeting registration campaign with its early-bird deadline, and the monthly member newsletter. Each is written once, then runs every cycle with small edits.
